Each budget belongs to a project and a fiscal year, in your reporting currency. Break it into line items by category — each with a planned amount and an actual amount — so planned-vs-actual isn’t a separate reconciliation exercise done in a spreadsheet at year end.

Donor pledges and disbursements

Record what a donor has pledged against a budget, then log disbursements as they arrive — each with its own date, amount and notes. A budget can carry contributions from more than one donor, so co-funded projects don’t need a workaround.

Donors are contacts, not a separate database

A donor record is a contact in your organisation’s contact list, categorised as a donor — so the same record holds their details whether you’re logging a disbursement or scheduling a call, instead of keeping donor information in two places that drift apart.
